We have already covered the concept of differences between text placeholders and text boxes using PowerPoint 2008 and PowerPoint 2011 on Mac. Here’s a quick walkthrough of the PowerPoint 2016 interface, the PowerPoint 2016 interface is quite similar to PowerPoint 2013. PowerPoint 2016 opens with a Presentation Gallery. The Presentation Gallery provides several ways to start your next presentation using a template, a Theme, a recent presentation, a not-so-recent presentation, or even a blank presentation. Once you make choices in this Presentation Gallery, you see the actual PowerPoint interface.

All these three ways can be combined with each other but it is best to start with creating an outline for your presentation in another program. Mac users can create outlines in TextEdit. In addition, you can use Microsoft Word as well. In this tutorial, we’ll show how you can use Word 2008 for Mac to create an outline for a PowerPoint presentation.

Typically, the last thing I would want to do is create my presentation outline in a spreadsheet program like Microsoft Excel. In one of my training sessions, I was showing participants how they could create presentation outlines for PowerPoint in Notepad or Microsoft Word — and one of the attendees wanted to know how he could create an outline in Excel! To understand why anyone would want to create an outline in Excel, you probably need to be an Excel junkie — but rather than go and discuss what an Excel junkie means, I’ll show you how an outline can indeed be created in Excel — this works on all versions of Excel for Windows and Mac OS X.

The Ribbon in PowerPoint Online is the long strip comprising tabs with buttons across the top of the main window within the PowerPoint interface. The Ribbon contains almost all the commands you need to work with your slides and is designed in a way that helps you quickly find the commands that you need to complete a task.

We already showed you how you can create outlines for your PowerPoint presentation in Notepad (Microsoft Windows) and TextEdit (Mac OS X). We still maintain that it’s best you use either of these text editors but if you already created a structure for your presentation in Microsoft Word (or if your boss or colleague sent you one), it makes no sense to abandon it for a text editor. Outlines are stories that contain sequential structures of any text content that you use in a presentation. In many respects, an outline is more like a script for a movie production than a bunch of slides — however, it does form an ideal starting point for a bunch of slides! The Backstage view in PowerPoint Online provides access to the File menu and some other options. However, don’t expect the Backstage view within PowerPoint Online to be as full featured, compared to the Backstage view in PowerPoint’s desktop versions—in fact, there’s almost no feature to control interface elements. The options here mainly accomplish basic tasks such as sharing, saving, downloading, etc.
